Role Overview:

We are seeking a highly organised, proactive, and detail-driven Studio Assistant to provide comprehensive support to Creative and it’s Leadership Team. This role involves complex diary and travel management, project coordination, team event support, and close collaboration with internal teams across multiple time zones. The ideal candidate will be confident, adaptable, and able to manage a fast-paced workload with frequently changing priorities. 

Key Responsibilities:

Diary, Meeting & Communication Management 

  • Organise and schedule meetings, calls, reminders, and personal appointments across global time zones. 
  • Prepare agendas, record meeting minutes, track action items, and ensure timely follow-up. 
  • Act as a support point for Creative Arts Team Europe with room bookings, stationery, ad-hoc requests, errands, multi-tasking responsibilities as needed and general team coordination. 
  • Assist with restaurant bookings and ad-hoc reservations as needed. 

Travel & Events: 

  • Meticulously plan and manage frequently changing travel arrangements—often at short notice. 
  • Build detailed itineraries; arrange visas, flights, accommodation, transportation, and travel budgets. 
  • Book travel for the UK Creative Arts Team. 
  • Organise Creative EU based events throughout the year, ensuring best rates and budgets are met. 
  • Laise with Global Assistant Network to visit hotels and restaurants, providing feedback and negotiating best available rates. 

Administration & Finance 

  • Process expenses for Senior Director. 
  • Coordinate distribution of internal team merchandise, including arranging delivery to home addresses when required. 

Cross-Team Collaboration 

  • Attend bi-weekly Leadership calls, capturing notes and distributing action items. 
  • Collaborate closely with US Executive Assistants to ensure priority requests from VP’s are delivered promptly. 
  • Support award submissions by collating entry information and coordinating  

 Skills & Experience Required 

  • Proven experience as a Studio Support, Executive Assistant, or similar high-support administrative role. 
  • Excellent organisational skills with the ability to manage shifting priorities and complex logistics. 
  • Strong communication skills and confidence liaising at all levels. 
  • High attention to detail and a proactive, solution-focused mindset. 
  • Experienced in international travel coordination and event administration. 
  • Comfortable working across different time zones and cultures. 
  • Ability to maintain confidentiality and professionalism at all times.
